How the math works

Estimated missed appointments per week = appointments per week × missed-visit rate. Estimated missed appointments per year = weekly missed appointments × working weeks. Annual gross value affected = annual missed appointments × average appointment value. Monthly gross value is the annual figure divided by 12.

For example, 100 appointments a week at a 10% missed-visit rate over 48 working weeks means about 10 missed appointments per week and 480 per year. At an average appointment value of $150, the affected gross value is $72,000 per year, or $6,000 per month. This example is arithmetic, not a prediction for your practice.

What this estimate leaves out

A vacant slot may be refilled, a visit may be rescheduled, and the appointment value may include costs that are not profit. Some late cancellations create enough time to rebook; others do not. Use your own records for a more useful rate and revisit the inputs as your schedule changes.
